Information we collect

Depending on how you interact with us, we may receive:

  • your name, email address, organisation and role;
  • the contents of your enquiry and later correspondence;
  • information needed to scope or deliver onboarding support; and
  • basic technical information recorded by our hosting provider, such as IP address, browser type, requested pages and timestamps, for security and reliable delivery.
The enquiry composer is deliberately private.

What you type into it is not sent to, or stored by, this website. Selecting “Compose enquiry” opens a prepared message in your own email application. Information reaches us only if you choose to send it.

Please do not send identity documents, financial details, health information or other highly sensitive material in an initial enquiry. If it becomes necessary, we will agree an appropriate way to share it.

03

How and why we use it

PurposeLawful basis

Prepare a proposal or take steps you request before a contractSteps before entering into a contract
Provide services and manage a client relationshipPerformance of a contract and our legitimate interests
Maintain security, prevent misuse and keep appropriate recordsOur legitimate interests and, where applicable, legal obligations

We do not use enquiry information for automated decision-making or profiling. An enquiry does not subscribe you to a marketing list.

04

Sharing and international transfers

We do not sell personal information. We share it only where reasonably necessary with service providers supporting email, hosting, IT and business administration; professional advisers; authorities where the law requires it; or specialist advisers involved in your onboarding when you have asked us to coordinate with them.

Providers are expected to protect information and use it only for the agreed purpose. Where information is processed outside the UK, we use a lawful transfer mechanism, such as UK adequacy regulations or approved contractual safeguards, where required.

05

How long we keep it

We keep personal information only for as long as it is needed for the purpose described above, including legal, accounting and dispute-related requirements. As a working rule:

  • general enquiries that do not become client work are normally deleted within 24 months of the last meaningful contact;
  • client and contractual records may be retained for up to six years after the relationship ends; and
  • technical security logs are normally retained for up to 90 days, unless they are needed to investigate an incident.

We may keep less information for longer where it has been anonymised.

06

Your rights

Under UK data protection law, you may have the right to ask for access to your personal information, correction, deletion, restriction, portability or to object to certain uses. Where processing relies on consent, you can withdraw that consent at any time. These rights are not absolute and the appropriate right depends on the circumstances.

Email info@msonboarding.co.ukto make a request. We may need to confirm your identity before responding. We aim to respond within one month, as required by law.
